Tailored role-based training for your users

Your end-user training programme must be targeted so the right content is being trained to the right audiences. There are considerable challenges to the Construction/Engineering industry. These include securing skilled workers to replace the continual stream or workers retiring and bringing projects in on-time and on-budget. An ERP system goes half way to ensuring these challenges can be met. The other half is its workforce – they must be competent users of the ERP solution. Some typical audiences and challenges are captured in the workstreams below.

Commercial buyers, commercial managers, surveyors

The buyers will procure goods/services for materials and machinery. This group must be proficient in raising requisitions and the authorisation process so as to support Commercial. Training for this group can be blended and include eLearning and quick card cheat sheets.

The Commercial managers would need an intense classroom session addressing processes including subcontracting managing variations and extras, tools to manage supplier relationships as well as overseeing any regional/national agreements. Training should not be delivered during milestones or billing periods.

Site managers, contract managers, site administrators

It is sometimes better to train site and contract managers off-site to avoid interruptions/distractions. This keeps them focussed and means the training can be concentrated and delivered over a shorter duration.

The Site Admin teams (depending on their usage level) can have a blended approach with a combination of online learning, reference aides and classroom sessions.

Construction administrators, timekeepers, administrators

This user community is one of the most important – providing support to Commercial and Construction streams. These users can carry out most functionality used by their Commercial/Construction colleagues and typically are the heaviest users of the system. They could also manage the time recording for all workers on a job ensuring accurate billing.

The training for this audience must be classroom so they have the opportunity to practice using the new solution as well as understand the new business processes which underpin the new functionality they are being taught.

Data centre managers, estates managers, onsite workers

These users will be based on the customer’s site so ideally the training should be delivered on site to ensure business-as-usual activities are covered. The onsite workers will typically be

processing job requests through tablets and consuming materials so their training will be very light touch and could be delivered at the start or end of a shift.

Management accountants, finance assistants, treasurers

Timing for the training of finance users is paramount and cannot disrupt their end of month/quarter commitments. Your training programme should train on a build which will be familiar to the audience when they go live, introducing walkthroughs using your COA, approval hierarchy and data.

Classroom training is popular with these audiences, however, if the audiences are overseas, modular delivery across WebEx/Skype can be delivered in shorter durations.

HR administrators, HR business partners, line managers

HR works closely with the departmental administrators as well as recruitment. Their core system users are normally the HR administrators who will require hands-on training so they are competent for go live.

Users such as HR business partners and line manager approvers will not require classroom training but a short session on the core benefits, their role in the process and the functionality they are required to use.
