One of London’s leading universities ranked in the top ten in the QS World University Rankings needed to modernize its Finance and Procurement systems, they selected Oracle E-Business suite and external partner was required to support the adoption of this transformation.

The implementation of Oracle across the University’s customer base was to deliver faster, more effective processes, and support the Finance function as a whole in providing stakeholders with the best-in-class services. In scope was Finance, Procurement, Expenses and a Research and Grants module.

They lacked internal resources to dedicate to developing and delivering training, and with the Go-Live date fast approaching, the risk was that they would have to delay by a year if staff did not receive training in-time.

Solution

The University partnered with the specialist user adoption consultancy Optimum to design and deliver tailored end-user training programmes for the Oracle implementation.

They chose Optimum because of their experience with ERP software within the higher education sector, and their ability to create bespoke courses on the final build with the business processes incorporated.

The fact that Optimum employed a large team of permanent in-house resources was also a key factor.

Optimum worked closely with the project team and SME’s to design and deliver the training materials with an approach specific to each workstream.

Result

The training consultants created a blended learning solution utilising the bespoke Oracle build, with a particular emphasis on both interactive and passive eLearning as per the client’s request.

Back at desk tools such as reference guides and quick cards were also developed to support life after training which proved very useful for the Finance and Procurement team who experienced a large degree of change.

The partnership with Optimum allowed the University to create and deliver the training in a third of the time they had originally planned for.
