The Pros and Cons of Oracle Guided Learning (OGL)

Whitepaper by:Joanne Harrison

Oracle Guided Learning (OGL) offers in-app training specifically for Oracle applications. Whilst a useful tool, it also has several limitations.

OGL Features

OGL offers a wide variety of different features, including:

  1. In-app guidance and assistance
  2. Customised learning pathways
  3. Content personalisation and multilingual support
  4. Self-service training and reduced support load
  5. Cross-Oracle application compatibility

The primary drawback is that it only works within Oracle’s ecosystem, making it less useful for organisations that use multiple software platforms. Additionally, it can be fragile, meaning training flows often break if Oracle’s user interface changes.

Its features are relatively basic compared to more advanced digital adoption platforms, plus it lacks sandbox environments or comprehensive analytics.

OGL can provide some support for translating training materials, but it has limitations. It leverages Oracle’s OCI Language for automated translations, which supports 31 languages. Compared to other digital adoption platforms, OGL offers fewer language options and lacks advanced multi-format content handling, which could hinder localisation efforts across non-Oracle systems. If robust translation and localisation are priorities, OGL will require supplementary resources.

Pros and Cons

Optimum has experience in developing end-user aimed content with various different digital adoption platforms including the likes of SAP Enable Now and Microsoft’s Task Recorder, and there are key positives and negatives for each these.

Positives for OGL include:
  • Users are supported with process steps in the system
  • Content can be published directly to Fusion once updates have been made
  • Learners have access to self-paced learning
  • Dashboard Analytics identify where users are interacting with OGL items.
Negatives for OGL include:
  • Building/editing content is time consuming and takes longer than building content in MS office and linking the content through OGL.
  • Material owners of OGL content will be required to use OGL to update materials directly or communicate additions/changes to a dedicated OGL custodian.
  • To build and test OGL, you must have a testing POD that has the following:
    • Full functionality for the modules to be built/tested
    • Test log-ins with access to security datasets a normal user (e.g. manager/employee) would have in production
    • Sufficient test data available to complete testing of flows (invoices, PO’s, performance docs etc.)
    • Correct reporting workflow structure for approval purposes
      • Depending on the state of the POD (Fusion environment used to develop OGL content), delays could occur in developing the OGL content.
  • Complex processes where branching is required take too long to build.

Conclusion

Whilst OGL is a powerful tool, it still requires a lot of time and effort to produce and manage content.

It takes considerably longer to edit/build content in OGL than it does using other tools. During the development phase of end-user training materials, there are UAT activities which prompt decisions being made as to how Oracle Fusion Cloud ERP will be used and adopted. These decisions impact the content to be captured in the training materials and courses. A speedy and reactive method of development must be employed during this phase of most ERP programmes.
