Firstly, there is typically significant differences in the level of user ability. Secondly, depending on how old the existing processes have been in place, there will be resistance to change. Finally, the timing of the training must be flexible and not hinder business in any way.

Typical public services audiences we support

As with any industry it’s important to select an ERP training consultancy who are experienced in working with public services user groups. Having partnered with numerous public services organisations across the globe, we’re perfectly placed to do this. Here are a few of the user groups we typically support during public services projects.

This broad user group covers most departments across public services. Typical workflowed requests for the employee and possibly contractor could include: Requesting materials and services; requesting leave and entering expenses. The manager’s Self Service solution would enable them to authorise the workflowed requests.

As these audiences are high in number, eLearning would be a good way to train this audience. Involving nominated super users in User Acceptance Testing would also be beneficial.

Roles include Managers, Employees, Contractors etc.

Some schools are responsible for processing their own supplier invoices with other AP/AR functions devolved to the schools. The challenge with training the school user community is that typically, there are only a few users in each school scattered around the area and it would not be cost effective to provide face-to-face training to all of them.

One solution is to nominate school champions who are trained together and are then responsible for cascading the training to schools in their area.

Roles include Local Finance Teams, Administrators, Department Heads etc.

Training for this group should be delivered in multiple sessions so the entire team is not taken out of the workplace. Ideally, training would be delivered outside the core hours when not supporting customers.

This will mean no distractions for the audience who will be able to concentrate on learning the new system and accompanying business processes.

Roles include Payments Officers, Trainee Cashiers, Credit Controllers etc.

Planning teams will spend a majority of their time on site as well as reviewing plans and applications. Their use of the ERP solution will be light touch and involve the submission of expenses, possibly timesheets and managing their personal data online.

This audience will be difficult to entice into the classroom, so for these light-touch topics, Optimum recommend eLearning and supporting quick cards.

Roles include Planning Officers, Planning Assistants, Regeneration Officers etc.

Timing for the training of finance users is paramount and cannot disrupt their end of month/quarter commitments. Your training programme should train on a build which will be familiar to the audience when they go live, introducing walkthroughs using your COA, approval hierarchy and data.

Classroom training is popular with these audiences, however, if the audiences are overseas, modular delivery across WebEx/Skype can be delivered in shorter durations.

Roles include Management Accountants, Finance Assistants, Financial Controllers etc.

HR works closely with the departmental administrators as well as recruitment. Their core system users are normally the HR administrators who will require hands-on training so they are competent for go live.

Users such as business partners and line manager approvers will not require classroom training but a short session on the core benefits, their role in the process and the functionality they are required to use.

Roles include HR Administrators, HR Business Partners, Line Managers etc.
